MEMBERSHIP AND DIRECT MAIL ASSOCIATE – The Alliance for Retired Americans, Washington, DC
The Alliance is a national grassroots advocacy organization with 4.4 million members nationwide that works to ensure a secure retirement for all Americans. This is a full-time exempt bargaining unit position in the Washington, DC office.
Overview:
This position serves as the manager of the organization’s membership database specifically as it relates to a multi-faceted direct mail fundraising program, in addition to assisting with membership operations. As such, you will perform data selects and queries, produce reports, upload and output files, update tables and enter costs, while managing the vendors who produce our direct mail campaigns. You will also be responsible for assisting with Member emails and calls and providing excellent customer service in responding to inquiries, processing contributions and maintaining donor records. This position reports to the Director of Development.
Responsibilities:
- Oversee annual direct mail production calendar and work performed by outside vendors in areas of list acquisition, print and mail production, and caging/donation processing and fulfillment
- Review and verify the accuracy of copy, artwork, and printed materials.
- Perform quality control checks to ensure proper file counts, addressing, personalization, and insertion of direct mail packages.
- Perform data entry and modifications (i.e., Member status changes, duplicate records, name and address hygiene, et al.)
- Select, segment, and output direct mail campaign files
- Provide update files to outside vendors as authorized/directed.
- Answer membership phone line and voicemail messages, respond to requests and/or direct calls to the proper person/department
- Monitor membership email account, respond to requests and/or direct to the appropriate person/department
- Process membership/direct mail payments as needed for non-standard situations
- Send direct mail payments and returned checks to our caging company
- Perform other related duties and assignments as required
Essential skills and qualifications:
- 1-3 years of recent experience in an office setting performing data entry, answering calls, preparing spreadsheets, and sending correspondence
- Familiarity with the direct mail industry or previous scheduling/project management experience
- High School diploma or equivalent required, 4-year degree strongly preferred
- Ability to quickly learn new systems, technology, and methods
- Strong attention to detail, ability to be proactive, and possess excellent follow-up skills
- Manage multiple tasks with changing deadlines and priorities
- Excellent oral and written skills
- Proficiency with Google Workspace (Docs, Sheets, and Gmail), and/or Microsoft Word and Excel
- Clearview or other CRM experience is a plus
- Prior experience in a direct mail, printing, or fulfillment environment is a plus
Summary of Benefits:
- Salary range approximately $60,000 - $70,000 DOE
